Gratuities / Tax
Road Merchant helps add a specified Tax or Gratuity to the charge amount of a previously held transaction. The Tip Mode is meant for merchant that have the card swipe/printer connected to Road Merchant. The process is to hold enough funds to cover the original amount and the projected tip, have the customer specify the tip, and then go back an capture the final amount including the tip.

How To Incorporate a Gratuity or Tax

 

1On the main screen, press the menu button and select "Toggle Tip Mode".  The screen should look like the entry screen on the bottom right. You will see a "Tip Mode On" red banner indicator over the SALE button. You cannot perform a sale because you want to only authorize/hold the funds until the gratuity can be included.

2 Be sure tht on the Settings screen you have already entered a percent you would like to "pad" the transaction with to cover the predicted tip.

3 Either enter and sale amount (optionally email) and perform a swipe the card if you have the bluetooth card swipe unit, or manually enter the other relevant information, and then perform a "HOLD".

4After the hold is approved, print out the receipt for your customer to specify a tip and sign.

5When you get back the signed receipt, perform a capture on the transaction, by either specifying the added tip amount, or the full amount including tip.

Example

 

1I am a taxi cab driver and finished with my fare. The amount of the ride was $18.75. I don't anticipate a tip more than 50%. In Road Merchant, I put the program into tip mode, enter $18.75 as an amount, and have 50% specified as an amount to add. I select Swipe Card from the menu and swipe the fare's credit card, and get a hold approval for $28.13 ($18.75+$9.38).

2 I print out both the Merchant Copy and the Customer Copy receipts. They show a charge amount of $18.75 (although the "true" hold amount was $28.13) and blank lines for Tip and Signature.

3 The customer adds $5.00 to the tip line and signs the merchant copy and gives it back to me. After the customer leaves the cab, on their transaction listing, I select the menu option "Capture Partial Amount".

4On the Capture screen, I enter 5.00 as the tip amount to add and press "PROCESS TRANSACTION". A capture will be performed for $23.75, and the remaining funds that were originally put on hold will be released. No need to print another receipt - the transaction ID is the same.

5If the customer wants to give me a tip larger than I originally held, I would thank the customer and explain to them that the terminal is limited to only adding a tip up to 50% (in my case), I would void out the previous capture, and then ask the customer if I could swipe their card again, this time as a regular sale (not in tip mode) with the tip amount included.

6If you try to hold too much of a predicted tip and the customer's card gets declined, reduce the predicted tip percentage until an amount is approved.
